Asset & Lease Manager
Own the administration of a multi-site U.S. retail lease portfolio: abstract leases, track critical dates, verify every landlord charge before it is paid, and recover overbilled CAM and tax charges.

What You'll Do
- Abstract every executed lease and amendment (rent, escalations, CAM/tax/insurance terms, options, notice windows, exclusives, co-tenancy) into the lease database.
- Maintain the critical date calendar (options, renewals, termination rights, TI deadlines, insurance renewals, estoppels) and give advance notice.
- Route and file leases, amendments, estoppels, SNDAs and consents, and keep an indexed digital lease file.
- Set up rent records at commencement and keep escalations, amendments and abatements current.
- Validate every monthly billing (base rent, CAM, tax, insurance, percentage rent) against the lease before payment, and prepare the payment file for Accounting.
- Manage the outsourced CAM and tax audit, review findings against the lease, and track approved claims through to credit or refund.
- Screen year-end reconciliations on receipt and correct errors right away.
- Track real estate tax bills and assessments, verify pro-rata shares, and flag protest candidates.
- Issue and maintain certificates of insurance for every location to each lease's requirements.
- Monitor landlord obligations and put landlords on notice when they are unmet.
- Maintain W-9s, landlord and property manager records, and payment instructions, with verified controls on any banking changes.
- Support franchisor and lender consent, estoppel and reporting requests.
- Act as the day-to-day contact for property managers on statements, reconciliations, certificates and documents.
- Prepare and file TI allowance draw packages and track them through to receipt.
- Support back-charge claims and portfolio events such as closures, relocations, assignments and subleases.
- Keep the lease database accurate, and produce recurring reports (critical dates, rent roll, occupancy cost, audit savings, insurance compliance).
- Write and maintain SOPs, and help define, train and supervise a future associate role.
What We're Looking For
- 4+ years in U.S. retail or commercial lease administration, lease accounting or property accounting, ideally with multi-site portfolios
- Ability to read and accurately abstract U.S. shopping-center leases, including CAM, tax and insurance pass-throughs, caps, exclusions, options and notice requirements
- Working knowledge of CAM and real estate tax reconciliations, with the ability to spot improper charges and hold a position with landlords or audit firms
- Experience managing certificates of insurance against lease-specific requirements
- Advanced Excel
- Excellent written and spoken English for direct, professional correspondence with U.S. landlords and property managers
- Exceptional accuracy and follow-through, and comfort owning a deadline calendar where a missed date has real financial consequences
- Preferred: a degree in Accounting, Finance, Real Estate, Business or Law
- Preferred: experience with a lease administration platform, e-signature tools and an ERP/AP system
- Preferred: experience supporting a growing portfolio (new openings, TI collection) or working with a U.S.-based team from offshore
